Operations Coordinator (Part-time)

Location: Toronto, Ontario (SVI office and off-site)
Wage: $22–25.00 per hour

The Role:

St. Volodymyr Institute (SVI) is seeking an Operations Coordinator to play a crucial role in supporting SVI’s day-to-day operations, ensuring the efficient functioning of our programs and activities. This position requires strong organizational skills, attention to detail, flexibility, and the ability to work effectively in an active and mission-driven environment. Reporting to the Executive Director, the Operations Coordinator will work closely with the Communications Designer and Development Project Director.

Responsibilities:

  • Event and Project Coordination Support:

    • Assist in planning, organizing, and executing SVI's events and projects, handling logistics, promotions, and on-site coordination.

    • Utilize various channels, including social media and email campaigns, to promote events and engage target audiences effectively.

  • Administrative Support:

    • Set up and attend meetings related to development and cultural programming initiatives, serving as a notetaker and recording key discussions and action items.

    • Prepare presentations for development-related activities, including stakeholder meetings.

    • Prepare reports summarizing meeting outcomes and project progress.

    • Act as a liaison between tenant organizations within the Institute, facilitating communication and collaboration.

  • Social Media and Communications:

    • Work with the Communications Designer to support SVI's social media accounts, curating content, scheduling posts, and engaging with followers to raise awareness about SVI's mission and programs.

    • Implement communication strategies and create promotional materials, such as newsletters, press releases, and blog posts.

    • Monitor social media correspondence.

  • Volunteer and Membership Engagement:

    • Assist with volunteer coordination to support SVI's activities and events, ensuring a positive volunteer experience.

    • Cultivate relationships with SVI's members, providing opportunities for involvement and participation in programs and initiatives.

    • Maintain a database of volunteers and members, tracking their interests, skills, and participation to optimize engagement and retention.

  • Grant Writing and Development:

    • Research grant opportunities from diverse sources and craft compelling proposals to secure funding aligned with SVI's mission.

    • Collaborate with staff, tenant organizations, and partners for grant applications.

    • Cultivate relationships with potential donors and grant-giving organizations by attending networking events and facilitating partnerships.

    • Ensure timely submission of grant proposals and adhere to all funding guidelines and requirements.

    • Assist with grant reports.

Requirements:

  • Excellent written and spoken English; fluency in Ukrainian an asset

  • Demonstrated knowledge of Ukrainian and Ukrainian Canadian culture

  • Strong organizational skills and attention to detail

  • Strong interpersonal skills 

  • Ability to work independently and in a team environment

  • Proficiency in office productivity tools, with an aptitude to learn new programs and systems, e.g. Canva, Google Suite, online meetings (Google Meet, Zoom), and Squarespace

  • Experience in seeking out grants, including writing grant applications and reporting

  • Flexibility in hours of work in order to meet business needs

This is a part-time position, 24 hours per week, with the possibility of increase in hours.
Immediate start available.

Compensation: $22-25.00 per hour
